JOB SUMMARY:
This position is responsible for coordinating and managing the day-to-day office activities required by the Real Estate/Operations Manager and Sales Staff and all other activities listed below for this market. This position also responsible for assigning, routing and scheduling all advertising copy installs, receiving and storing of materials.
ESSENTIAL FUNCTIONS:
- Provides support including composing/typing correspondence, memorandums and reports; preparation of graphs and charts; processing payment of all bills, preparing leases and sales contracts as well as telephone contact with both clients and subcontractors.
- Coordinates and manages typed materials such as documents, reports, spreadsheets, etc., and special projects directed by Sales and Real Estate Managers. Also maintains all Real Estate and Sales Department filing. Limited typing contracts, photo-sheets and proposals.
- Processes all monthly “Lease Change Forms” and coordinate monthly percentage reports, expired and suspended lease audits.
- Updates and maintains current rental, future increases, expiration date, real estate taxes, parcel I.D., license fee, meter number, occupancy, revenues, D.E.C., latitude/longitude, and zip codes as defined by Sarbane-Oxley compliance requirements in: 1) All spreadsheets applicable to Real Estate Department; 2) Current/future lease data systems; 3) Current/future inventory management system.
- Interact with Account Executives in the day to day activities to ensure a successful outcome to client needs.
- Maintain completions records of all copies installed.
- Work with sub-contractors when necessary to ensure copy installation in the markets.
- Coordinate delivery of materials to facility as well as building and delivery of extensions and sections.
- Input all completed work for rotation and posting.
Job Requirements
MINIMUM QUALIFICATIONS:
- Knowledge of Windows Software such as Microsoft Office 98 and 2000, Microsoft Outlook, Excel, and PowerPoint and Oracle Database Operation
- Must be professional in appearance and manner. Must be able to multi-task and be extremely detail-oriented. Must be able to speak articulately with clients, lessors, etc., on the telephone with complete personal and professional integrity.
- Must successfully pass a background check
PHYSICAL/MENTAL DEMANDS, ENVIRONMENT:
Sitting, walking, standing, speaking, hearing, reading, kneeling, lifting, carrying up to 30 lbs., multiple concurrent tasks, frequent interruptions, mathematical skills, verbal and written communication, detailed work, and confidentiality.

ADDITIONAL FUNCTIONS:
- Supports and exhibits behavior consistent with the sales and service philosophy of CBS Outdoor, Inc.
- Acts with diplomacy as a representative of CBS Outdoor, Inc., and the Real Estate /Operations Department.
- Performs other related duties as required.
- Handles all charting, P&D, manager approvals of Boston Sales Contracts.
- Will asset Sida Hok in Sales for the New Hampshire market/North East Non Metro
